DDtrac is centered around "the student," where a student is anyone data is being taken for. The student record consists of a minimum amount of basic information that is necessary for DDtrac, plus the additional information to allow you store and manage the complete student record.



To add or edit a student/patient in DDtrac go to the "Administer Site" tab in DDtrac (this tab is only visible to users with administrative privileges for DDtrac). and choose "Manage Students" under the "Manage Organization" sub-menu.

• An administrator for a school district will see a screen like the one below showing links to pages for each student in the district. An administrator for a single school will only see the students for their school:

{Clicking} a link for one of the Students OR {Clicking} the "Add a New Student" button will bring-up a screen similar to the one below (Note: the Add New Student button will only be displayed if the administrator has not exceeded the number of students they are allowed to add to the system). The administrator should:

1. Input the student's first, middle and last name. These will be displayed on the data entry pages, goals and reports.
2. Input the student's student id at the school - this is not necessary as the student ID is included to facilitate school record keeping. The student will automatically be assigned a second arbitrary id for tracking purposes within DDtrac.
3. {Select} the site the student is assigned to. Every student must be assigned to a site.
4. If you have already added users to DDtrac you can assign the access privileged each user at the site is granted for this student (or at the district) (See Student Privilege). The users you can assign the student to will be limited to the users the administrator has administration privileges for. If you have not defined users yet - you can also assign students to users on the Manage Users page.
5. Do not uncheck the Active checkbox unless you are no longer tracking data for this student.
6. {Click} the "Update Student" button to save your changes.
