A site in DDtrac is generally a school, clinic or home where data is taken for students. Generally, schools that purchase a single school license will have only one site as will individuals who purchase a license for one or two students. A school district will generally define multiple-sites, one for each school. The advantage of using sites is that:
- You can assign an administrator by site so that a teacher or local school can be responsible for adding students & users for their school and will be unable to see students and users from other sites.
- You can set the time zone and whether your region practices daylight savings time so DDtrac can automatically fill dates and times in on some data collection forms.
- You can define site specific information:
To add or edit a site in DDtrac go to the "Administer Site" tab in DDtrac (this tab is only visible to users with
administrative privileges for DDtrac). and choose "Manage Sites" under the "Manage Organization" sub-menu.
An administrator for a school district will see a screen like the one below showing links to pages for each school in the district. An administrator for a single school will only see the link for their school and will not be able to "Add New Site Data" (no button):
- List of Sites for a District -
{Clicking} a link for one of the sites OR
{Clicking} the "Add a new Site" button will bring-up a screen similar to the one below. The administrator should:
- Give the site a name (e.g. the school name)
- Assign the site an administrator or primary contact for the site - in case there are any problems at the site.
- {Select} a time zone for the site (this helps ensure all dates & times are recorded correctly) and indicate whether the site is in an area that practices daylight savings time (check this box if you are almost anywhere except Arizona).
- {Click} the "Update Site" button to save your changes.
- Editable Data for a Single Site -
You may also add a logo for your site. The logo will appear at the top
of your report or chart pages when you
print
them (instead of the DDtrac logo). You will not see the logo when you
are
creating the reports or charts – only if you print them (or use print
preview).
Once you have set the basic site information administrators will want to
- Define the Locations for the site.
- Set-up the site Schedule.
- Add additional Contact Information
