DDtrac includes ability for users to
take attendance for individual students or groups of students. The
DDtrac attendance form feels like attendance for a typical class. It allows users to:
specify whether a child is present, absent or tardy.
enter the arrival time and departure time for
the child.
track the hours that different
therapists work with a single student.
take data for "single period" type
classes as well as for environments where you could have 6 or 7
periods in a
day.
update attendance data by reentering new attendance values for the same user/group for the same day.
The attendance capability includes an attendance data collection
form available under either the individual or group data entry tab plus
individual and group attendance reports.
To add attendance data for an individual student:
{Select}
the name of the student you are
interested in working with from the list on the left hand side of the
DDtrac home
screen or {Click} the "Data Entry" tab for the currently
selected student.
{Scroll} down to
find the links to all individual data entry pages and {Click}
the "Attendance" link - OR - select "Attendance" from the "Other Data" drop down menu.
To add attendance data for a group or class:
{Select}
the name of the group you are
interested in working with from the list on the left right side of the
DDtrac home
screen or {Click} the "Data Entry" tab for the currently
selected group.
{Scroll} down to
find the links to all group data entry pages and {Click}
the "Attendance" link - OR - select "Attendance" from the main group data entry menu.
This
will take you to the standard attendance form (below) which allows users to
enter
attendance data for one or more students. You can enter the:
Attendance status
{Select}
Present, Absent, Tardy or None for regular attendance data OR
{Select}
the service type (Speech Therapy, Occupational Therapy, Physical Therapy, Music Therapy, Individual instruction or Group instruction) if you are using attendance to track hours of service received.
Attendance Date
Time In (usually the start time for a class or group)
Time Out (usually only used to keep track of individual therapist hours).

Note: A student will only have one attendance value for a given group or user on a single day. If you enter a new value for a day you have already taken attendance for then the new value will overwrite the original value. This can be useful if you originally marked a student absent but they came in late. You could then go to the attendance form for the individual student and take the tardy data for that day and the absent would change to tardy.
