The administrator TAB is only visible to someone with administration privileges in the DDtrac system. It allows the site administrator to Add/Edit Students, Users, Groups and Sites in their DDtrac database. The
Administration Overview provides an introduction on how to start setting-up DDtrac. The sections below provides more details on setting-up sites, students, users and groups as well as on creating standard assessments and on importing and exporting data from DDtrac.
Manage Organization includes:
- The Manage Sites page describes the steps you need to go through to set up a site in DDtrac.
- A site in DDtrac is a location that therapy/instruction is being taken at. A site is usually a school, although a special school with multiple different classrooms could set-up each classroom as a separate site.
- If you purchased a multi-site license (e.g. for more than one school) the DDtrac administrator will need to define the sites where student data will be collected.
- Even if you purchase a single student license or a single school license your DDtrac administrator should still use Manage Sites to define the:
- Add a logo for the site (will appear at the top of printed reports and charts).
- The Manage Students page describes the steps you need to go through to set-up a student in DDtrac, where a student is anyone data is being taken for. The student record consists of a minimum amount of basic information that is necessary for DDtrac, plus the following optional information:
- The Manage Users page describes the steps you need to go through to set up a user in DDtrac.
A user in DDtrac is anyone that is authorized to read, enter or edit data within the system. The user definition consists of a minimum amount of basic information
that is necessary for DDtrac, plus the following optional information:
- The Manage Groups page describes the steps necessary to set-up groups, which allow users to take data and do progress monitoring for more than one student at a time.
DDtrac also includes these other administration features:
- Manage Account includes
instructions on how to subscribe to DDtrac, renew your DDtrac
subscription, cancel your DDtrac subscription, add students to your
current subscription and edit your account details.
- Manage Procedures allows users to defined standard assessments that can be given to any student at their site.
- Data Exchange describes how to import and export data from DDtrac.
- Search describes how to search DDtrac for the specific information related to a student or group. Search can also be conducted across students and groups.
- The ability to use Session Recovery to restart a DDtrac session should a session expire during data entry.
