Small hand held devices require customized data entry screens to allow
users to efficiently take data within a small screen. DDtrac mobile is
designed to to mimic the Apple iPod user interface but is web based so
it allows users to easily take data on virtually any small hand held
device that can run a web browser.
To use DDtrac Mobile simply click the DDtrac Mobile icon

in the upper left hand corner of the main DDtrac login screen. This will take you to the
DDtrac Mobile Login page.
- DDtrac Mobile Login Page -
The mobile
data entry home page contains a list of students that you can take data
for (it only shows students you have edit or data entry permissions
for).
- {Check} the students that you want to work with during this data collection session and then {Click} the "Go Offline" button at the bottom of the page.
- This will download all of
the data collection forms for each of the students you selected at once.
- This allows you to disconnect from
the internet, take all of the data for one or more students then
reconnect to the internet and upload the data.
- Note: the more students you choose on the initial screen, the longer it will take to download all of the data collection forms.
- Offline mode includes a login
form at the bottom of each screen to allow you to upload all of the data
you collected after you reconnect to the Internet.
- DDtrac Student Selection Page -
- Once you generate the mobile data collection forms you will see a list of the students you selected to take data for.
- If you {Click} the link for one of the students then you will be taken to a data entry menu that allows you to select the type of data you want to enter for that student.
- DDtrac Home Page & Data Entry Menu -
- You can currently enter Instructional data, Behavior Data,
Social Data and you can record observations or notes about the day's
work session.
- You can also view past observations and comments made
about the student (it is a good idea to do this before starting to work
with a student on any given day).
Mobile Instructional Data Entry
- To take Instructional or Academic data {Click} the "Instructional Data" link on the "Data Entry" menu.
- This will take you to the "Select Objective" page (see Figure
below). This page shows all objectives the student is currently working on. Objectives are grouped by
the instructional goal that they fall under.
- Instructional Objective Data Entry -
- To collect data for one of the objectives, {Click} on one of the named hyperlinks on the page.

This will take you to a data collection page that will allow you to take data for each target associated with the objective.
- To take data for an individual target you will need to {Click} the target name to show the data collection elements. The
figure above shows a data collection page using a nonverbal prompt
format.
- Note: The way the data collection controls appear may be slightly different depending on the hand held device you are using.
- At the bottom of the data collection page you will see a dropdown list that allows you to {Select}
a short comment about how work on this objective went during this work
session. This can be used to help explain poor performance or to see if
there is a pattern (e.g. always bored) that needs to be addressed.
- {Click}
the "Save" button (either at the top right or the bottom of the page) to save the data locally to your handheld device(using a cookie)
- Note: This does NOT write the data to the DDtrac database. You need to fill out the login form at the bottom of any mobile data entry page to send the data back to be recorded in the DDtra database.
- When
you save your inputs for an objective you will be guided back to the
"Select Objective" page and a check will appear showing you have taken data for the
objective during today's session.
- If you are done collecting instructional data for the day/session you may {Click}
on the "Back" button at the top left corner of the "Objective" page to
take another type of data for the student (e.g. to enter an observation
comments about the day).
Mobile Behavior Data Entry
- To take Behavior data {Click} the "Behavior Data" link on the "Data Entry" menu.
- This
will take you to the behavior data entry page (see Figure
below). This page allows a user to take data for a behavior episode.
It allows all of the data to be entered that can be taken on a regular
behavior data collection form - except you are limited to specifying
a single behavior per episode and it does not contain a quiet room log.
- Behavior Data Entry -
- You should enter the behavior, trigger (or antecedent),
location, duration for the episode and the number of behaviors that
occurred during the episode.
- The remaining data is optional
and can be used to provide more information about the interventions,
others involved, consequences and any injuries that may have occurred
during the episode.
- {Click}
the "Save" button (either at the top right or the bottom of the page) to
save the data locally to your handheld device(using a cookie)
- Note: This does NOT write the data to the DDtrac database. You
need to fill out the login form at the bottom of any mobile data entry
page to send the data back to be recorded in the DDtra database.
- When
you
save your behaviors you will be guided back to the
"Data Entry Menu" page allowing users to
take another type of data for the student.
Mobile Social Data Entry
- To take Social data {Click} the "Social Data" link on the "Data Entry" menu.
- This will take you to the social data entry page (see Figure
below). The page displayed shows a list of the social objectives (grouped by social goal) for a particular
student and allows a therapist or staff person to take data as to
whether or not the social behavior was observed during a particular
observation time/social interaction.
- Social Objective Data Entry -
- To collect data for one of the objectives, {Click} you will need to {Click} the social objective name to show the data collection elements.
- At the conclusion of the social observation/interaction you need to {Select}
a duration because the presence or absence of a particular social
behavior may be highly dependent on the amount of time spent
observing/interacting with the student.
- The page also allows a narrative description of the social
interaction to be entered. This narrative will be displayed on the
"past observation" page when the next staff person logs in to work with
the student.
- {Click}
the "Save" button (either at the top right or the bottom of the page) to
save the data locally to your handheld device(using a cookie)
- When
you save your social data you will be guided back to
the
"Data Entry Menu" page allowing users to
take another type of data for the student.
Mobile Observation Data Entry
- To enter an observation or to take daily notes {Click} the "Observation Data" link on the "Data Entry" menu.
- This will take you to the observation data entry page (see Figure
below).
- Observation Data Entry -
- {Enter} a narrative comment. This can be notes
about the student's day, observations about how well he or she worked,
or a discussion of a method used to teach the student that was
successful (or unsuccessful).
- {Enter}
one or more labels describing the post. Labels are freely chosen
keywords that are use for grouping comments for later analysis.
- If the observation comment is for a day and time other than the current day and time, {Change} the automatically entered date and time.
- {Click}
the "Save" button (either at the top right or the bottom of the page) to
save the data locally to your handheld device(using a cookie)
- Note: This does NOT write the data to the DDtrac database. You
need to fill out the login form at the bottom of any mobile data entry
page to send the data back to be recorded in the DDtra database.
Submitting Mobile Data to DDtrac
- Once you have completed taking data: reconnect to the Internet
- Scroll to the bottom of any data entry page
- Enter your User ID
& Password
- {Click}
the "Submit Data" button
- Your form will be checked and written back to the DDtrac database.
- Submit Offline Data -
- Note: if you ever accidentally close your mobile data entry form before you submit the data back to DDtrac, simply:
- Reconnect to the Internet,
- Log into DDtrac mobile
- Choose the same students you were working with on your original form (the one you closed).
- When the form opens it will detect that you have had prior data in that form and you will be asked whether you want to save that data or clear the form.
- You must choose to "OK" to load the new copy of the form with the data you have already taken (Cancel will clear the form).
- Then you can fill out the login form at the bottom of the page to submit the recovered data to DDtrac.
